  Audit Process

1. An information sheet/questionnaire is to be filled up for proper assessment of the property, so that during audit the scope and the variables are very transparent for the auditor and the audit team to submit a crystal clear picture of the happenings.

2. Based on the audit report we can update or design various forms and formats for smooth and hazard free operations.

  Effectiveness of Audit

Ensure effective and efficient running of property with all available resources. Suggestions as under for Client & their scope:

   To make out a planner indicating the major activities to be carried out besides routine work - like pest control, facade cleaning, fire drill/training, tank cleaning, pit cleaning, scheduled PPM/ from 52 weeks schedule for all concern machineries and equipments etc. ,as applicable.
   Surprise checks at odd hours without prior intimation and submit the findings in the next day daily report/mail to all concern authorities and also to be mentioned in the monthly report by Auditor.
   Researching new programs or processes to improve quality/costs for Client. Develop and implement recommendations to position Client facilities at their highest and best use.
   Preparation and presentation of cost efficiency analysis and energy management strategies ,as a value added service by Auditor.
   To ensure that during execution of work , proper measures to be taken so that no damages to be caused to the building structure, common services, common areas etc.
   Arrange and host periodic meetings with vendors & service providers/Bank. All such meetings should be documented & minutes to be prepared and to be mailed to all concern authorities within next two days and hard copy of same to be filed for records.
   To recommend direction to HK / Security / Electromechanical people, to provide them clear-cut accountability and inspiring them to deliver results in order to ensure efficient and effective upkeep of all services in order to maintain/achieve high class ambience.
   To outline all priorities &make recommendations accordingly , within specified time frame/stipulated time period also regarding immediate response to any emergency/exigencies.    To recommend that all repair & maintenance activity conducted as per the schedule time frame and make out a plan of action for client.
    To recommend that all the following plans, drawings, layouts, UGR, Drainage layout, operating procedures /Manuals /Licenses / MIS / Checklists / registers etc are maintained properly & are kept under safe custody at site, as applicable.

  What are the Auditor’s Responsibilities?

    The auditor is required to provide you with a non binding Audit Report (Bimonthly/Quarterly) with its recommendation & should any non conformances be identified – negotiate with you the time periods -for them to be rectified/resolved.
    Should the auditor identify any critical non conformances then the Client has an obligation to notify the relevant company representative in a timely manner.
    Training of staff / vendor's employees (as a value added service)


  What is Client's Role?

Client have a significant role to play in the management of the audit system that includes:

    Reward Penalty : enforcement where regulatory action is required, including penalty or prosecution. A reward mechanism will also be put in place to identify &acknowledge good performance
    Frequency : enforcement of audit frequency compliance to reduce time cycle; and
    Follow up : Investigation of complaints made the Services.
